About the Position
Metabolic’s Consulting division is a fast-growing team of ambitious and impact-driven people working in collaboration with cities, NGOs, and private sector organizations around the world. We have a clear vision of how we want to achieve our mission, and a strong and motivated team, but need extra support in taking the steps necessary to scale up and out our activities, while also still providing an exciting and rewarding work environment for all.
Your role within the Consulting team will be foundational – connecting with everyone on the team as an administrator and advocate of organizational cleanliness to ensure that our processes and systems are functioning well and creating efficiency and effectiveness in the consultancy. You will work directly with our Consulting Management team on creating, improving and maintaining processes, manage the consulting training program, ensure data accuracy across our softwares and project performance reporting, and support in pushing forward internal projects that are designed to help us achieve our strategic impact goals.
In this position you are responsible for the following tasks:
- Manage our processes around project time tracking and data accuracy, liaising with the team leads to ensure this is done consistently and accurately. Innovate,improve and maintain the admin processes (e.g. project management, capacity management and time tracking) and manage the solutions for doing this in coordination with consulting management and the finance team. This also involves updating best practice and documentation as the context changes and dealing with software suppliers as the point of contact for contractual negotiations, billing arrangements and support.
- Manage the processes and collection of internal data and create and maintain reporting and insight dashboards for the management team
- Maintain and coordinate the consulting training program by gathering the needs across the consultancy to plan training according to the priorities of our team. Including the support and training of the consultancy on our internal operating system.
- Work closely with consulting management and other team members to create and update other key information assets (such as templates, project portfolios, case studies)
- Plan, attend and facilitate key meetings and events in the consultancy, and take notes when needed. You follow-up and coordinate on action points.
- Prepare and send out memos, surveys, and other team communications
- Ensure new team members have been properly onboarded to any software/tools that we use in the consultancy
- Support consulting management in organizational task including research, planning, and scheduling of events, trainings or other strategic priorities
Your Profile
We are looking for a true team player with great communication skills. Someone who takes initiative, is eager to learn and innovate, and knows how to prioritize tasks and gets the job done.
- Fluency in English required, fluency in Dutch or other languages a bonus
- A minimum of 1 year of experience as a management assistant, admin, secretary, or operations role
- Must be comfortable working with Excel, experience with CRM, project management tools and Google Data Studio is a big bonus
- Able to perform quantitative analysis with large sets of data
- Must be highly organized and proactive, a critical and strategic thinker is also desired
- Passion and affinity for sustainability
- non-EU/EEA applicants: The role is dependent upon obtaining a visa to live and work in the Netherlands. Metabolic is a recognised visa sponsor and may support the successful candidate’s application for a work visa.
The position can be four or five days a week, and has a flexible starting date. It requires you to locate to (or close to) Amsterdam.
